As tasks are created and assigned using JobTraQ BPM software, the system dynamically assesses employees’ available schedules and workloads, and uses that data to find over- and under-utlized workers. The Resource Management Software calculates data in real-time for any individual workers, teams, or assets that are assigned to tasks. The utilization chart makes it easy for businesses to find individuals or groups that have available time, and also highlight people who are overloaded.
Every user and asset in JobTraQ business process management can have a custom work schedule, so the system can calculate that resource’s availability. In addition, default schedules can be set for entire groups, to simplify schedule administration. Users can easily record the time they spend on any task or project they work on, or appointment they attend. Once this time is recorded, utilization and tracking reports can be generated and time spent on various parts of a project can be analyzed.
Each project contains a detailed list of all time spent by all users in all tasks under the project. It displays the total time spent on the project to date, the total time spent in each task, and the details of each task’s time.
Workflow can also be used to dynamically calculate costs and targets.
The flexible calendars in JobTraQ allow a user to quickly access another user’s shared calendar to determine availability and schedule future appointments and work. Calendars are access-controlled so that users can only see the calendars of other people or assets they have been given permission to work with. With the proper permissions users can view any person’s tasks, appointments, and future recurring tasks. Calendar views can be set to view an entire department in one view. JobTraQ also provides businesses with detailed week and day calendars, to make it easy to find open time slots and reschedule appointments. The system also provides timeline and list views for users who prefer to see their schedules in those formats.
Daily reports, monthly meetings, recurring compliance tasks, maintenance tasks, inspections and annual reviews are all easy to execute without fail through JobTraQ’s recurring tasks feature. Users can specify when each task should be scheduled and how often it should recur. JobTraQ will automatically create new tasks at the specified times. These automated tasks can also be used to seed entire dynamically created projects or to kickoff simple or powerful workflows.

A person with a contact record in JobTraQ can optionally be given a username and password, or linked to their network account, and quickly granted permissions that will control their access to features, records, fields, and other JobTraQ objects.
Contact records can be quickly and easily imported from a CSV file exported from any other system. If the CSV file contains hierarchy or security role information, that will import as well.
In addition to contacts, JobTraQ can also record simple assets, such as computers, vehicles, and conference rooms, or assets that make up a part of your workflow, like field equipment or manufacturing machinery. These assets can store attached files like proof of purchase, photographs, etc. and can be configured with relevant custom fields, like serial number, IP address, or last service date. These assets can then be associated with tasks and projects in various ways.
Since assets have availability schedules and can be assigned to tasks and projects, they can be loaded into the Resource Chart page. This allows managers and workers to quickly see which assets are available for use.
