Resource Utilization Management
As tasks are created and assigned using JobTraQ, the system dynamically assesses employees’ available schedules and workloads, and uses that data to find over- and under-utilized workers. This utilization data is calculated in real-time for any individual workers, teams, or assets are assigned to tasks and that data is automatically rolled up to their organizational units so that spotting underutilized teams is as easy as seeing an overloaded worker or machine.
The flexible calendars in JobTraQ allow a user to quickly access another user’s shared calendar to determine availability and schedule future appointments and work. Calendars are access-controlled so that users can only see the calendars of other people or assets they have been given permission to work with or they can also view an entire department at once.
Daily reports, monthly meetings, recurring compliance tasks, maintenance tasks, inspections and annual reviews are all easy to execute without fail through JobTraQ’s recurring tasks feature. Users can specify when each task should be scheduled and how often it should recur, and JobTraQ will automatically create new tasks at the specified times. These automated tasks can also be used to seed entire dynamically created projects or to kickoff simple or powerful workflows.
Employees, customers, and vendors can be stored in JobTraQ and organized into detailed hierarchies. Any person with a contact record in JobTraQ can optionally be given a username and password, or linked to their network account, and quickly granted permissions that will control their access to features, records, fields and other JobTraQ objects. A contact can be defined as a basic client with no direct access to the system, or they can be granted very limited access for adding, viewing, or editing their own tasks. On the other end of the scale a contact can also be defined as a key employee and granted granular access to just one team’s or everyone’s tasks and just a few or all of the features available in the system.
Custom “contact types” can be configured so that different custom created contact fields can be associated with one or more contact types. For clients, tracking an account number, or attaching a tax certificate can be very useful, where for employees recording a badge number, their title, or their last performance review date might make more sense. All of this custom data can also be accessed through the Outlook® Integration client, or synchronized to other systems using the web services API. The options are broad and easily configured making JobTraQ much more than just another system that stores contact records in order to relate them to various records, but rather JobTraQ is a very powerful contact tracking system as well.
